Privacy Policy

This Privacy Policy explains how All Haryana Attorney's Welfare Association ("the Association", "we", "us") collects, uses, stores, and protects personal information on this election portal. By using the website or voter portal, you agree to this policy.

Information we collect

We collect only what is needed to administer elections and operate the public site:

  • Voter records: name, email address, mobile number, account status, and an encrypted password.
  • Authentication data: login attempts, one-time verification codes when that setting is enabled, session identifiers, IP address, and browser user agent.
  • Election administration: eligibility for a specific election, whether you have voted for a post, and audit events such as login or password change. Individual candidate selections are stored separately from your identity and are not shown to administrators.
  • Public enquiries: name, email, subject, and message submitted through the contact form.
  • Technical logs: server and application logs used to keep the service secure and available.

How we use information

Personal data is used to:

  • create and maintain eligible voter accounts;
  • authenticate you and protect the portal against unauthorised access;
  • allow you to cast a ballot during a published voting window;
  • record participation for turnout and eligibility reports without revealing how you voted;
  • publish official notices, results, and institutional pages;
  • respond to contact messages and meet legal or regulatory duties of the Association.

Ballot confidentiality

Votes are confidential. The system is designed so that administrators cannot see which candidate a voter selected. Reports available to authorised staff show whether an eligible voter has participated, not the content of the ballot.

Legal basis and sharing

We process this information to conduct Association elections, to perform a task in the public interest of the membership, and to protect the integrity of the poll. We do not sell personal data. We may share information with:

  • authorised election administrators and dual-control officers of the Association;
  • hosting, email, and SMS providers who process data only on our instructions;
  • courts, regulators, or law-enforcement agencies where the law requires disclosure.

Retention

Voter accounts and eligibility records are kept for as long as they are needed to administer current and subsequent elections and to maintain an audit trail. Contact messages are retained until they have been handled. Technical logs are kept for a limited period for security review. You may request correction of your account details through the Association secretariat.

Security

Passwords are stored in hashed form. Access to the administration panel is restricted to authorised staff. Where configured, one-time codes are sent to the email and mobile number on your record. You are responsible for keeping your password confidential and for changing it if you believe it has been compromised.

Cookies and sessions

The portal uses a session cookie so that you can remain signed in while you vote. We do not use advertising or third-party tracking cookies on the public or voter interfaces.

Your choices

You may update your password from the voter portal. Requests to correct name, email, or mobile details, or to deactivate an account, should be made to the Association. Deactivation will prevent login and voting but may not erase historical audit records required for election integrity.

Contact

Questions about this policy or about personal data held on the portal should be sent through the Contact page or to the Association secretariat using the details published on this website.

This policy may be updated when election procedures or the law change. The published version on this page is the current version.
